Maintenance at StFX supports the systems, spaces, and infrastructure that allow teaching, research, residence life, athletics, and events to operate smoothly across campus.

Supporting more than 38 buildings, Facilities Management coordinates preventive maintenance, regulatory oversight, repairs, seasonal transitions, capital support, and emergency response. Work is prioritized based on life safety considerations, regulatory requirements, operational impact, and overall campus needs.

Skilled trades teams operate during regular business hours, with structured on-call coverage in place to respond to urgent after-hours situations affecting safety or major building systems.
Maintenance includes not only visible repairs, but also the planning, monitoring, and ongoing stewardship of campus infrastructure to promote reliability and long-term performance.

Service Requests & Urgent Issues

Service requests are submitted through the Facilities Service Desk and are triaged according to safety considerations, operational impact, and system requirements.

To support timely response, requests must include:

  • Building and room number
  • Contact information
  • Description of symptoms or issue
  • Urgency and any access constraints

Issues involving immediate safety concerns or significant building system disruptions should be reported by phone.

Call immediately if you observe:

  • Burning smells
  • Sparking or electrical hazards
  • Flooding
  • Loss of heat in occupied academic or residential spaces
  • Any condition posing risk to people or property

Mechanical & Electrical

The Mechanical & Electrical team maintains the systems that regulate comfort, power distribution, plumbing, and building automation across campus facilities.

A team of five electricians, two pipefitters, and three plumbers supports electrical infrastructure, HVAC systems, plumbing networks, controls, and related mechanical assets across 38 buildings. Work is coordinated around academic schedules and campus activity to minimize disruption while maintaining system reliability.

Core Responsibilities

  • HVAC maintenance and troubleshooting, including seasonal changeovers
  • Electrical repairs and interior distribution support
  • Building controls and digital automation coordination
  • Plumbing system maintenance
  • Camera installation
  • Data and ethernet cabling in coordination with IT
  • Motor installation and replacement
  • Dryer ventilation services
  • Site-wide appliance maintenance
  • Hydrant testing and system verification
  • Steam trap maintenance and replacement

Preventive & Planned Work

Preventive maintenance programs are scheduled and tracked to reduce system interruptions, extend asset life, and support consistent building performance. This includes inspection programs, performance monitoring, and lifecycle-based replacements.

Capital & Project Support

The team provides technical coordination for:

  • Energy-related installations and system upgrades
  • New builds and renovation projects
  • Infrastructure planning and system detailing
  • Oversight of contracted elevator inspections and regulatory compliance

Scope Boundaries

The Mechanical & Electrical team does not service personal appliances, personal space heaters, or personal electronics.

Structural: Carpentry & Painting

The Structural team supports the physical condition, safety, and functionality of campus spaces through carpentry and painting services.

Comprised of four carpenters and one painter, the team addresses repairs and small-scale projects across academic, residential, and support buildings, coordinating work to align with campus operations.

Services Include

Carpentry

  • Door, frame, and hardware adjustments
  • Minor repairs to interior finishes, trim, and casework
  • Small repair and installation projects

Painting

  • Touch-ups and scheduled repainting cycles

In addition to structural maintenance, the team administers the approved issuance of mechanical keys to support controlled access and campus security.

Mechanical Key Issuance (Keys & Access)

Key control is administered to protect people, property, and campus operations.
All key requests require formal approval and documentation. Keys are issued to individuals and must not be duplicated or loaned.

Request Process

  • Complete the Key Request Form
  • Obtain approval from department head or designate
  • Provide required details: individual name, building/door, reason, duration
  • Keys are issued upon signature and presentation of StFX ID

Key Holder Responsibilities

  • No unauthorized duplication
  • Keys must not be lent
  • Lost or stolen keys must be reported immediately

Returns & Departures

Exiting staff must return keys to their direct report.
All returned keys must be sent to Facilities Management with the following information clearly included:

  • Key holder’s name
  • Manager/direct report
  • Associated building and room number

Unidentified keys cannot be processed or reconciled within access records until proper documentation is provided.

Rink Operations

Rink Operations maintains safe and reliable ice conditions while supporting varsity athletics, recreation, and event readiness.

Responsibilities include daily ice maintenance, and environmental monitoring to promote consistent performance and user safety. The team maintains refrigeration plant oversight with a strong focus on safety procedures and emergency preparedness.

Safety guidance, including ammonia exposure response procedures, is available through University safety documentation.

Ice bookings are coordinated directly through the designated scheduling contact.

Central Heating Plant

The Central Heating Plant provides heat to campus buildings supporting academic, residential, and operational activities.

Facilities staff operate and maintain the plant and its distribution systems to meet daily demand, particularly during peak heating seasons. System performance is monitored to respond to weather conditions and campus requirements.

Planned maintenance and coordinated shutdowns are scheduled to promote system reliability while minimizing disruption.
