Cancellation and Refund Policy
Exhibitor Cancellation
- 15+ business days before event (on or before September 1, 2026): Fees will be refunded but are subject to a $100.00 processing fee.
- Less than 15 business days before event (after September 1, 2026): No refund.
Cancellation Procedures
All cancellation requests must be submitted in writing to the Organizing Committee.

Refunds will be processed within 30 business days of confirmed cancellation
No-Show Policy
Organizations that register and do not attend on the day of the event forfeit all registration fees paid.
Registration Transfers
Registrations are fully transferable to another representative from the same organization.
Force Majeure and Event Changes
StFX University reserves the right to alter event dates, venues, or format with reasonable notice.
Non-Profit, Social Services, Indigenous, and Government Organizations Eligibility
Only five spots are available to organizations of a Canadian national/federal, provincial, or local entity that hold recognized charitable status. Any organization intending to register after 5 spots are booked will have to pay a fee charged at that time. Eligible organizations must also operate on a not-for-profit basis and have a mission to benefit the local community. Government contractors and private education institutions are not eligible for the discount. StFX University reserves the right to verify eligibility at any time and to deny or cancel the discount for ineligible organizations. The discounted registration rate is subject to availability.
Photography and Media Policy
Official event photographs and videos may be taken for use in connection with the activities of StFX University for promotional materials such as advertisements and any other University-related publications.
Student Participation
The Opportunities Fair is open to all StFX students and recent graduates. Grand Prize: $1,500 toward an X-Ring. Proof of X-Ring eligibility is required before prize disbursement.
Code of Conduct and Compliance
StFX University is committed to providing a safe, inclusive, and respectful environment for all participants.
Privacy and Data Protection
StFX University collects and maintains information about exhibitors and attendees for event coordination and communication.
Other Rules and Regulations
Exhibitor booths are pre-assigned according to the floor plan and cannot be moved.
Exhibitors are expected to arrive no later than 30 minutes before the scheduled start time of the fair and are asked to remain for the entire duration of the event before packing up.
Display materials should be arranged at your booth in such a manner as not to obstruct the sight lines of your neighboring tables. For everyone's safety, pull-up posters and retractable banners exceeding six feet in height must remain placed on the floor at all times and cannot be propped up on the exhibitor tables.
We encourage exhibitors to come prepared with enough print copies of promotional materials.
While we do provide guest access to Wi-Fi, if the connection in the venue is poor and we cannot guarantee connectivity.
Franchises are strictly prohibited at our fairs; there will be no investments on part of the students associated with the services exhibitors are promoting.
The promotion of selling products and/or services is not permitted.
The University reserves the right to limit or restrict an employer partnership or application based on the following:
institutional priorities
financial considerations
violation of this policy or other university policies
contractual agreements or,
provincial or federal laws.
Amendments and Governance
By completing registration and participating in the StFX Opportunities Fair, exhibitors and attendees acknowledge and accept all terms and conditions outlined in this document.
