Project Governance and Membership

The Experiential Learning Project is led jointly by the Vice-President, Students, and the Assistant Vice-President, Academic Affairs, and is supported by an Experiential Learning Advisory Committee (ELAC) representing faculty, staff, students, and community partners. A Project Governance Structure has been established to coordinate implementation and consultation activities.

StFX Experiential Learning Initiative Governance & Reporting Framework

Purpose

The Governance and Reporting Framework establishes the structure, roles, and processes required to manage the STFX Experiential Learning Project effectively. It supports transparency, accountability, and informed decision-making across all project stages.

Governance Structure

The project is governed through a multi-tiered structure to ensure balanced oversight and input from key stakeholders: 

  • Experiential Learning Advisory Committee (ELAC) – Provides overarching advisory on the project.
    • Working Groups / Subcommittees – may be formed by the ELAC to focus on specific thematic areas such as curriculum integration, partnerships, and evaluation.
  • Acting Director Experiential Learning Operations: Serves as the business owner for the Experiential Learning Project, providing operational leadership for project implementation, coordination, and reporting. The Acting Director oversees the development of systems, processes, and frameworks that will inform future experiential learning operations across the university.     The Service Learning and International Education portfolio, led by Megan Turner, continues to report directly to the Vice-President, Students, and the Assistant Vice-President, Academic Affairs.

  • Project Manager (PM) – Oversees day-to-day implementation, coordination, and reporting. Coordinates project operations, manages timelines and deliverables, and prepares reports.
  • Project Lead / Manager, Steering Committee Chair – Facilitates governance meetings, ensures accountability, and approves key decisions. Contact: Donna Forbes PM  902-456-8828 @email
  • Project Steering Committee (SC) – Provides strategic direction, approves deliverables, and monitors project progress.
  • Project Team – Resources to support the work and tasks to completion through the project day to day.

Meeting Schedule and Reporting

  • EL Advisory Committee: Quarterly (see Terms of Reference in Appendix A)
  • Steering Committee Meetings: Weekly/Monthly, depending on project phase and need.
  • Project Management Team Meetings: Weekly operational check-ins.
  • Working Group Meetings: As required by deliverable timelines.
  • Progress Reports: Updates to the Steering Committee at meetings and quarterly summaries to ELAC.
  • Final Report: Comprehensive 5 year Strategy to implement Experiential Learning.
